The user sync process in FIS allows you to sync users and user information from FIS to SCView. This helps you maintain user information in one place (with FIS being the source).
There are three difference ways to sync users and staff information. Before you can run the user sync process, you MUST set up the sync first (see the How to Set Up User Sync article).
- Run the sync for all users
- Run the sync for one user
- Add or Update staff information in HR/Payroll

To run the sync for all users, you’ll need to do the following:
Go to FIS > System > Directories > Users screen.
Click the Run Sync button.
Run the sync for one user
The following information is synced between FIS and SCView:

To run the sync for one user, you’ll need to do the following:
1. Go to FIS > System > Directories > Users > select a staff name (Edit User screen).2. Click the Run Sync button.
Add or Update staff information in HR/Payroll
The sync process can run:
when you add a new staff record in the HR/Payroll application or
when you update an existing staff record in the HR/Payroll application.
Adding a new staff
When you add a new staff the sync process automatically runs if the User Sync Process is set up. You’ll need to do the following:1. Go to FIS > HR/Payroll > Staff.2. Click the Add button on the Staff screen.3. Enter all the required fields (*) on the Add Staff screen.a. SSN – enter the staff’s Social Security number.b. Last – enter the staff’s last name.c. First – enter the staff’s first name.d. Address 1 – enter the staff’s line 1 address.e. ZIP Code – select the staff’s Zip code.f. Gender – select the staff’s gender.g. Race – select the staff’s race.h. Staff Status – select active or inactive.i. Employment Status – select the staff’s employment type such as Full Time, Part Time.j. Hire Date – Enter the staff’s hire date.k. Act 29 – Select if the staff has a new or existing Act 29.
4. Enter any optional fields.
a. Email Address – You MUST enter the email address to create a FIS user and SCView user.
5. Click the Save button.
a. The Staff ID is automatically created if the Auto Assign ID is true in the HR/Payroll > Staff > Directories > Parameters screen.
b. The Username is automatically created if the Auto Assign Staff Username is true in the HR/Payroll > Staff > Staff Portal > Staff Portal Username Parameters screen.

Your screen will look similar to the following:
To add a staff’s phone number in FIS and automatically trigger the sync process to SCView for phone number, you’ll need to select the Staff Phone tab and do the following.
1. Go to FIS > HR/PY > Staff > Staff Search > select a staff > Click Personal button > Select the Staff Phone tab.
2. Click the Add button.
3. Enter all required fields (*)
a. Phone – enter the staff’s phone number.
b. Type – select if the phone is cell (default), home or work.
c. Primary Phone – click the checkbox to identify this number as the primary phone number.

Staff ID – only if Auto Assign ID is false in the HR/Payroll > Staff > Directories > Parameters screen.

To update a staff in FIS and automatically trigger the sync process to SCView, you’ll do the following.1. Go to FIS > HR/PY > Staff > Staff Search > select a staff > click Personal button (Edit Demographics screen).2. Modify any of the following fields:
a. Last Name – to modify the last name you’ll have to:
i. Click the Edit Last Name button.
ii. Enter a New Last Name and Reason.
iii. Click the Save and Close button.
b. First – modify the staff’s first name.
c. Email Address – modify the staff’s email address.
3. Click the Save button.
To update a staff’s phone number in FIS and automatically trigger the sync process to SCView, you’ll need to select the Staff Phone tab and do the following.
1. Go to FIS > HR/PY > Staff > Staff Search > select a staff > Click Personal button > Select the Staff Phone tab.
2. Click the phone number (blue text in the grid).
3. Modify the phone number.
4. Click the Save or Save & Close button.
The primary contact field MUST be true in order for it to sync to SCView.Verify in SCView
The following information is synced between FIS and SCView:

To verify that the information has synced in SCView, you’ll need to do the following:
Go to SCView > Admin > Users.
Search for the user by entering the username. Note that you can enter a partial name and the system narrows down the results.
Click on the name.
The right part of your screen shows you the Details and you can review the following fields:
5. Click the Payroll tab to verify the Employee ID (Staff ID in FIS).
Potential Errors
The following is list of potential errors and ways to correct those errors:

The username is associated with a FIS or SCView system admin user. System users may include the following usersnames Admin, SCView, or CSIU and are not synced to SCView. If you receive this error for an actual username, you may want to verify that the Employee ID is correct in FIS and SCView.

Update the appropriate fields and save again or run the sync again.
