SmartSub: Remove a Substitute from an Assignment

This article explains how to remove a substitute from an existing assignment without canceling the assignment itself. Once the substitute is removed, the assignment becomes available again so another substitute can be assigned later.


Remove the Assigned Substitute

  1. From the Home page, select Manage Openings.
  2. Locate the assignment from which you want to remove the substitute.
  3. Expand the assignment to view the currently assigned substitute.
  4. Click the Pencil icon to edit the assignment.
  5. Select the appropriate assignment record.
  6. Click the Unassign Substitute icon.
Important: Unassigning the substitute does not cancel the entire assignment. It only removes the currently assigned substitute.

Enter a Reason

After selecting the option to unassign the substitute, you will be prompted to enter a reason.

A reason is required before the substitute can be removed.

For example:

  • Need a different substitute
  • Substitute is no longer available
  • Assignment requirements have changed
Note: The reason you enter documents why the substitute was removed from the assignment.

Save the Assignment

  1. Enter the reason for removing the substitute.
  2. Click Save.
  3. The record will show that the substitute is waiting to be unassigned.
  4. Click Save again to complete the change.

Verify the Assignment

After the change is saved, the assignment will return to an Available status.

Expand the assignment again to confirm that no substitute is currently assigned.

Manage Openings

Locate and expand the assignment

Click the Pencil icon

Select the assignment record

Click Unassign Substitute

Enter a required reason

Save the record

Save again to complete the unassignment

Assignment returns to Available

Result

The substitute is removed from the assignment, but the assignment remains active and available. You can leave it open for another substitute to accept or assign a different substitute later.

Best Practices

  • Verify that you are editing the correct assignment before removing the substitute.
  • Enter a clear reason that explains why the substitute is being removed.
  • Confirm that the assignment returns to Available after saving.
  • Expand the assignment after the change to verify that no substitute remains assigned.
