SmartSub: Reassigning a Substitute in SmartSub

Overview
This article explains how to reassign a substitute to an existing opening in SmartSub. This process allows administrators to replace a currently assigned substitute with a different one when needed.

When to Use This Feature

  • A substitute is no longer available
  • The assignment needs to be given to a different substitute
  • An internal or building substitute is taking over the assignment

Permissions Required

  • Super Administrator – Can reassign substitutes across all buildings
  • Location Administrator – Can reassign substitutes within assigned building(s)

Important Notes

  • The opening must already have a substitute assigned before it can be reassigned. 
  • You must enter a reason for canceling the assignment. This message is sent to the original substitute. 

Reassigning a Substitute (Super Administrator)

  1. Go to the Home Page in SmartSub. 
  2. Select Manage Openings
  3. Locate the opening and click the Edit (pencil) icon
  4. Review the currently assigned substitute. 
  5. Select the checkbox next to the current substitute. 
  6. Choose a new substitute using the selection icon. 
  7. Enter a clear reason for canceling the assignment (example: “Reassigned to building substitute”). 
  8. Click Save.
  9. Click Save again to confirm the change.
  10. Verify the new substitute is assigned.

Reassigning a Substitute (Location Administrator)

The process is the same, with slightly different navigation:

  1. Navigate to Location Admin
  2. Select Manage Openings
  3. Click the Edit (pencil) icon for the opening. 
  4. Select a new substitute. 
  5. Enter a reason for the reassignment. 
  6. Click Save, then click Save again.
  7. Confirm the reassignment is complete.

Best Practices

  • Provide a clear explanation to avoid confusion for substitutes. 
  • Double-check the selected substitute before saving
  • Ensure the replacement substitute is available and appropriate
