SmartSub: Reassigning a Substitute in SmartSub
Overview
This article explains how to reassign a substitute to an existing opening in SmartSub. This process allows administrators to replace a currently assigned substitute with a different one when needed.

When to Use This Feature
- A substitute is no longer available
- The assignment needs to be given to a different substitute
- An internal or building substitute is taking over the assignment
Permissions Required
- Super Administrator – Can reassign substitutes across all buildings
- Location Administrator – Can reassign substitutes within assigned building(s)
Important Notes
- The opening must already have a substitute assigned before it can be reassigned.
- You must enter a reason for canceling the assignment. This message is sent to the original substitute.
Reassigning a Substitute (Super Administrator)
- Go to the Home Page in SmartSub.
- Select Manage Openings.
- Locate the opening and click the Edit (pencil) icon.
- Review the currently assigned substitute.
- Select the checkbox next to the current substitute.
- Choose a new substitute using the selection icon.
- Enter a clear reason for canceling the assignment (example: “Reassigned to building substitute”).
- Click Save.
- Click Save again to confirm the change.
- Verify the new substitute is assigned.
Reassigning a Substitute (Location Administrator)
The process is the same, with slightly different navigation:
- Navigate to Location Admin.
- Select Manage Openings.
- Click the Edit (pencil) icon for the opening.
- Select a new substitute.
- Enter a reason for the reassignment.
- Click Save, then click Save again.
- Confirm the reassignment is complete.
Best Practices
- Provide a clear explanation to avoid confusion for substitutes.
- Double-check the selected substitute before saving
- Ensure the replacement substitute is available and appropriate
